YSD – Your Shooting Data · Version 3 · Last updated 6 November 2026
Who we are
YSD – Your Shooting Data is operated by HPFT Holdings (Pty) Ltd (registration number 2018/117331/07), 88 De Mist Circle, Bluewater Bay, Gqeberha 6212, South Africa (the "responsible party" under POPIA). You can contact us about your personal information at support@yourshootingdata.co.za. This app is not affiliated with the South African Police Service (SAPS).
What we collect
- Your email address and password (the password is handled by Google Firebase and we never see it).
- For each application you track: the SAPS reference number, the firearm serial number, the make, calibre and model, and the status information shown on the SAPS website.
- For each firearm you add under "My firearms": the make, model and calibre, the licence type, issue and expiry dates, and (only if you choose to enter them) the serial number and licence number.
- For each competency certificate you add: the type, the issue date, a suggested renewal date, and (optionally) the certificate number.
- The date and version of this notice that you agreed to.
Why we collect it
- To sign you in and keep your applications available on any phone you use.
- To check the status of your applications on the public SAPS Firearm Status Enquiry page, automatically once a day and whenever you open the app.
- To estimate how long each step will take.
- To remind you before your firearm licences expire and before the suggested renewal date of your competency certificates. Reminders are worked out and shown on your phone.
We do not sell your information or use it for advertising.
Anonymous statistics
When one of your applications moves to its next step, the app records how many days the previous step took (for example "step 8 took 41 days"). This record contains no email address, reference number, serial number or anything else that identifies you or your firearm. It is shared with all users to improve the time estimates.
Weather and your location
The Weather screen only uses your location if you tap the location button and allow it. The app asks for your approximate location (about 1–3 km), not your exact position. To get the forecast, the coordinates of your location, or of the place you searched for, are sent to the weather service Open-Meteo (open-meteo.com), which is based in Switzerland. Your email address and other details are not sent with them. Your location and the places you search for are kept only on your phone, to show your recent places. They are never saved in our database.
Scanning your licence card
If you choose to photograph your licence or competency card to fill in the details, the photo is read on your phone only (it is never uploaded) and deleted immediately afterwards. Only the details listed above are kept, and only after you check them and tap Save. Your name, ID number, photo, signature and fingerprint on the card are ignored and never stored.
Loads, range and ballistics data
Your loads, velocities, target photos and ballistic rifle profiles are kept on your phone. They are included in your phone's own backup to your Google account (if backup is switched on in your phone's settings). We cannot see that backup.
Only if you switch on "Back up to my YSD account" on the Loads screen, a copy of your loads, velocities, notes, target photos (made smaller), saved loads, load limits, component stock, rifle log, ballistic rifle profiles and dedicated status log is also stored in our database, so it comes back when you sign in on another phone. Only you can see it. You can switch it off at any time and delete that copy; it is also deleted when you delete your account.
Comments and suggestions
If you send a comment, suggestion or problem from the app, we store your message, the app version, your phone model and your account number, so we can improve the app. Your email address is only included if you tick "You may reply to me by email". Only we can read these messages; other users cannot. Ask us at support@yourshootingdata.co.za to delete them.
Responsibility for your loads
YSD works only with the information you enter. Suggestions, best loads, flat spots (nodes), charts and reports are calculated from that information. They are not checked against any published load data.
If anything you entered is wrong (for example a charge weight, a velocity, a component or a unit), the results and suggestions will be wrong too, and a suggested load may be unsafe.
Reloading and shooting are dangerous. Always start low and work up, stay within the powder and bullet makers' published data, and watch for pressure signs. You alone decide what you load and shoot.
YSD and its makers accept no responsibility or liability for any load, suggestion, calculation or report, or for any injury, loss or damage arising from their use.
Where your information is stored
Your information is stored in our database on Google Firebase (Google Cloud). Google may store or process it on servers outside South Africa, under data-protection terms that provide protection comparable to POPIA. In future we may move the database to our own servers or another hosting provider to support new features. If we do, the same protections will apply and we will update this notice and tell you in the app.
Who can see it
Only you can see your applications, firearms and competency certificates. The database is set up so that no other user can read them. We, as the operator, can access the database to run and support the app. We only share your information if the law requires us to.
How long we keep it
We keep your information for as long as you have an account. You can delete your account at any time from the Privacy screen in the app; your email address, applications, firearms, competency certificates, backed-up loads and consent record are then deleted. Anonymous statistics are kept, as they cannot be linked to you.
Your rights
Under POPIA you have the right to know what information we hold about you, to ask us to correct or delete it, to object to its processing, and to withdraw your consent at any time (by deleting your account). Contact us at support@yourshootingdata.co.za. If you are not satisfied with our response, you may complain to the Information Regulator (South Africa): www.inforegulator.org.za.
Is it compulsory?
You do not have to give us this information, but the app cannot track your applications without it.
